Archive and trash
Two ways to get something out of the way — one keeps it, one starts a 30-day countdown.
Two different actions that both make something go away, with one important difference.
| Archive | Trash | |
|---|---|---|
| The item is | Hidden, but alive | Deleted |
| Can be opened | Yes, by direct link | No |
| Can be edited | Yes, as normal | No |
| Comes back with | Unarchive, any time | Restore, within 30 days |
| Then what | Nothing — it stays until you unarchive | Purged permanently after 30 days |
Archive is for finished work you want out of the way — last year's client, a completed project. Trash is for things that were a mistake.
Archive
Archiving takes something out of the sidebar and out of your lists and dashboards, without changing it. Nothing inside is touched: the work is still there, still open to anyone with a link, and still editable.
You can archive a space, folder, project, task, or a doc page or doc folder. Archiving a container takes everything inside it with it, and unarchiving the container brings it all back.
Archived items do not count towards your plan's limits, so archiving is the right move when you are at a cap but do not want to lose anything.
Where to find them — the "Show archived" switch
There is no separate archive page. Archived items reappear exactly where they were.
In the Spaces section of the sidebar, click the ⋯ next to the + and turn
on Show archived. Archived spaces, folders and projects come back into the
list, greyed out, with an archive icon on the one that was actually archived.
The same switch sits on the Docs tree.
It is one switch for the whole spaces, not one per space.same for Docs spaces.
Opening an archived task or doc page directly by its link still works, and it tells you it is archived with an Unarchive button right there.
Who can do what
| Action | Who |
|---|---|
| Archive anything | Anyone who can edit that item |
| Unarchive a space, folder or project | Owners and admins |
| Unarchive a task, doc page or doc folder | Anyone who can edit that item |
Putting a whole space, folder or project back changes the sidebar for everyone, which is why it is held to a higher bar than archiving it was. A single task or page affects only itself, so whoever can edit it can also bring it back.
Private items stay private throughout. Archiving never exposes something to someone who could not already see it, and an archived private space stays invisible to anyone who was not a member of it — admins included. Only the workspace owner sees everything.
Trash
Deleted spaces, folders, projects, tasks, doc pages and folders, forms and posts all land at Settings → Trash, grouped by type. Restore puts an item back where it came from.
Who sees what
| You are | You see in trash |
|---|---|
| Member | Only what you deleted yourself |
| Admin | What you deleted, plus everything public that anyone deleted |
| Owner | Everything, including private items deleted by other people |
Restoring follows exactly the same rule — if you can see it, you can restore it. The owner sees everything on purpose: someone has to be able to recover a private document after the person who deleted it has left.
The 30-day countdown
Every deleted item is purged automatically 30 days after it was deleted. Until then, restoring is a single click.
Empty trash clears the lot at once, ahead of the countdown. It makes you
type DELETE first, because nothing comes back afterwards.
Deleting an item forever — either by emptying the trash or deleting a single item from it — is permanent. There is no second layer behind the trash.
Frequently asked questions
What can I archive?
Spaces, folders, projects, tasks, and doc pages and folders. Archiving a container takes everything inside it with it, and unarchiving brings it all back at once.
Do archived items count towards my plan limits?
No. If you are at your limit for spaces or projects, archiving frees room without losing anything.
Where did my archived space go? I can't find it anywhere.
Turn on "Show archived" — the ⋯ menu next to the + in the Spaces section of the sidebar, or on the Docs tree. Archived items reappear where they always were, greyed out, and you restore them from their own ⋯ menu. There is no separate archive page.
Some greyed-out rows have an archive icon and some don't. Why?
The icon marks the item that was actually archived. Rows without one were never archived themselves — they are inside something that was, so they are only visible while the switch is on. Restore the row with the icon and everything under it comes back with it.
How long do I have to restore something?
30 days from the moment it was deleted. After that it is purged automatically and cannot be recovered.
I archived a project. Did the tasks go too?
Yes — archiving a space, folder or project takes everything inside it out of the sidebar with it. Unarchiving brings it all back.
