What are Forms?

Public pages anyone can fill in — a job application, a client brief, a feedback survey — whose responses arrive in an inbox inside your workspace and can become tasks with one click.

A form is a public page you design once and share as a link, a QR code or an embed. People fill it in without an account. Responses land in the form's inbox in Kokar; the ones worth acting on become tasks in any project you pick.

Forms sit in the sidebar under Forms — not inside a space or project.

What a form is made of

PartWhat it is
QuestionsShort and long text, email, phone, number, date, time, checkboxes, dropdowns, rating, switch, file upload and signature
ContentAnything the docs editor can write between questions — headings, text, images, a YouTube video, a Google Map of your office
PagesSplit a long form into steps with a page break; respondents see a progress bar
ThemeColours, fonts, radius and a cover image — light and dark, with presets to start from
Thank-you pageThe message after submit, or a redirect to your own site

The flow, end to end

  1. Build it in the editor — type / for a question or a block.
  2. Publish and share a link or QR code. Make a named link per channel (Instagram, job board, flyer) to see which one works.
  3. Responses arrive in the inbox with a status: New → Reviewed → Converted or Archived.
  4. Convert a response to a task in the project of your choice; the task carries every answer and links back to the response.
  5. Analytics (Business and above) shows responses over time, where they came from, and which share link converts best.

Frequently asked questions

Do respondents need a Kokar account?

No. A form is a public page. Anyone with the link can respond — unless you switch on "Members only", in which case they must be signed in to your workspace.

Does every response create a task?

No. Responses are collected in the form's own inbox so a busy form never floods a project board. You turn a response into a task when you want to, choosing which project it goes into at that moment.

Who in my workspace can see a form and its responses?

Owners and admins, plus anyone whose role includes "Create forms". Members without that permission don't see Forms at all. Responses are private to that group.

Is there a limit on how many responses a form can take?

On the Free plan, 100 per form. On every paid plan, unlimited — a form with ten thousand applications works exactly like one with ten.
