Time & attendance
Clock in and out, set the rules that govern the working week, approve time off, and report on all of it.
Time & attendance is the part of Kokar that records the working day: who came in, when they left, how long the breaks were, who is off this week, and what all of that adds up to at the end of the month.
It replaces the fingerprint box on the wall. Instead of hardware, an employee taps Check in on their phone or computer β and it only goes through when they are inside the office area you drew on a map.
The four pieces
Clocking in and out
The daily action: check in, breaks, check out, and the location rules behind them.
Attendance policies
The working week, holidays, overtime and time-off quotas that everything is measured against.
Time off
Requesting days off, balances, and how approvals work.
History and reports
The day overview, PDF exports, history and fixing a missed check-out.
Where to find it
Attendance is one of the icons in the left rail of the app, next to Chat and Docs. Opening it lands you on your own clock, with the rest of the section in the sidebar beside it:
| Page | Who sees it | What it is |
|---|---|---|
| My attendance | Everyone | Your clock for today β check in, break, check out |
| My time off | Everyone | Your balances, and the requests you have made |
| Approvals | Owners & admins | The queue of time-off requests waiting on a decision |
| History | Owners & admins | Any member's past days: hours, breaks, overtime, absences |
| Overview | Owners & admins | Who is in, out and on break today, across the team |
| Locations | Owners & admins | The office areas people are allowed to clock in from |
| Policies | Owners & admins | Working weeks, quotas, holidays and per-member overrides |
How the pieces fit together
An attendance policy describes a working week β which days, which hours, which holidays, how much paid time off. A location is an office: a point on a map with a circle around it. When someone taps Check in, Kokar reads their location once, checks it against the offices that apply to them, and either records it or refuses it.
At the end of the day the entries are added up into worked hours. Anything worked beyond the day's scheduled hours is overtime, and any day that was never scheduled β a weekend, a holiday β makes the whole day overtime.
One workspace, several companies
Agencies that run more than one company put each one in its own space. Give a space its own attendance policy and it becomes its own timesheet: its own schedule, its own office, its own separate record of the day.
Someone who belongs to two of those companies gets a separate clock card for each, and their days never mix. Workspaces that run a single company never see any of this β there is just one clock.
What it costs
| Plan | Time & attendance | Office locations | Policies |

| Free | Not included | β | β |
| Standard | Included | 1 | 1 |
| Business | Included | 1 | 1 |
| Enterprise | Included | Unlimited | Unlimited |
Privacy
Worth being plain about, because staff will ask:
- Location is read once per tap, never in the background. Closing the app ends any location access.
- Employees never see the office coordinates or a map. They get a button and a result.
- No photo is taken and nothing about your face is stored. The mobile app will ask for the Face ID, fingerprint or PIN you already unlock your phone with β that check happens on the phone itself, and Kokar only learns that it passed.
- Where a check-in happened is kept as a distance to the office, so an admin can see that a day was worked off-site β not where someone was.
Coming to mobile
A Kokar mobile app is on the way, and attendance is the feature it was designed around β a phone at the office door is more accurate than a laptop, and it is what people have in their hand on the way in. Everything on these pages works on a computer today, and will work on the phone when the app lands.
Frequently asked questions
Which plans include time and attendance?
Standard, Business and Enterprise. It is not part of Free β on Free nobody can create an office location or an attendance policy, so there is nothing to clock into. Standard and Business get one office and one policy; Enterprise gets as many of each as you need.
Do employees need a phone to clock in?
No. Clocking in works on a computer as well, using the same location check. A phone is usually more accurate outdoors, but a laptop on the office Wi-Fi is normally fine.
Is this the same as tracking time on tasks?
No, and the two are deliberately separate. Attendance answers "was this person at work today?". Task time tracking answers "how long did this piece of work take?". A day can have both.
Can I see where my staff are during the day?
No. Location is read once, at the moment someone taps a clock button, and only to decide whether that check-in is inside the office. Nothing runs in the background and there is no live map of people.
Is there a mobile app?
Yes, and attendance is the case it was designed around β clocking in from a phone at the office door. The clock, your time off, your history, today's overview and the approval queue are all on it. The PDF export is the one thing that stays on the computer.
