Folders
Optional shelves inside a space — how folders group projects, when subfolders make sense, and what deleting one actually does.
A folder is a shelf inside a space. It groups related projects together and does nothing else — no tasks live in a folder, and no work is stored in one.
Folders are optional, deliberately. A client space with four projects is easier
to read without them. Reach for a folder when a space has grown enough that
the sidebar has become a list you scan rather than a list you read — a Nike
space with Q1 Campaign, Website Redesign and Social Media folders, each
holding its own projects.
Create a folder
Use the + on the space and choose Folder. You are asked for:
- A name — what the group of projects has in common.
- Whether it is private — off by default, in which case the folder simply inherits the space's access.
- A default permission — for public folders, what people who reached this folder through the space get here. Leave it unset to keep the space's level.
Creating folders is an owner/admin action, like the rest of the structure.
What goes in a folder
Projects, docs, and — on Enterprise — subfolders. Add them with the folder's own +, or drag an existing project into the folder in the sidebar.
Like spaces, a folder gets its own Overview dashboard, scoped to the work inside it.
Subfolders
Enterprise only
Subfolders are available on the Enterprise plan. Existing subfolders keep working after a downgrade — you simply cannot create new ones.
A folder can contain subfolders, one level deep. A subfolder cannot hold folders of its own.
Create one from the parent folder's + → Subfolder.
Where a folder sits
A folder's place is decided when you create it. Creating it on a space makes it a top-level folder; creating it from a folder's + → Subfolder makes it a subfolder of that one. There is no way to re-parent a folder afterwards — so if a folder is in the wrong place, move its projects into the right one and delete the empty folder.
Dragging folders in the sidebar reorders them within their space. It does not move them in or out of each other.
Move projects in and out
Projects, unlike folders, move freely. Drag a project onto a folder or subfolder in the sidebar to file it there, or drag it out to the top level of the space to unfile it. A project stays in the space it was created in.
Privacy
A folder is public or private, the same as a space.
Public means it inherits from the space: anyone who can see the space sees the folder, at the space's level unless you set a different default on the folder itself.
Private means it is invisible to anyone not on its member list, even to people who can see everything else in the space. Use Share folder on a private folder to add people. This is how one client space keeps a commercially sensitive workstream out of view without a second space for it.
Folder-level access is more specific than space-level, so a grant on the folder wins for anyone who has both.
Task statuses
Statuses belong to the space, not the folder. The Task statuses item in a folder's menu is a shortcut to the space's set — editing it there changes it for the whole space.
Archive a folder
Archiving hides the folder from the sidebar and leaves everything in it intact. It is listed under Settings → Archive, and an owner or admin can bring it back.
Delete a folder
Deleting a folder takes everything under it — subfolders, projects and their tasks. They stop appearing anywhere: not in the sidebar, not in pickers, not in dashboards, not by link.
Deleted folders sit in Settings → Trash for 30 days before being purged permanently. The folder is the single entry there — its subfolders and projects are not listed separately, because restoring the folder brings the whole thing back exactly as it was, still filed where it belonged.
Docs are the one exception: a page pinned under the folder stops showing in that spot but stays alive in the Docs tree.
Limits by plan
Folders are counted per space, and subfolders count towards the same number.
| Plan | Folders per space | Subfolders |
|---|---|---|
| Free | 10 | — |
| Standard | 200 | — |
| Business | 500 | — |
| Enterprise | 1,000 | Yes |
Only active folders count; archived and deleted ones do not. The full table is on the pricing page.
Frequently asked questions
Do I have to use folders?
No. Folders are entirely optional. A space can hold projects directly, and a client with four projects usually reads better without them.
Can a folder hold tasks?
No. Tasks live in projects. A folder holds projects (and docs) — if you want to put tasks in something, create a project.
Why can't I create a subfolder?
Subfolders are an Enterprise feature, and they nest one level only — a folder can hold subfolders, but a subfolder cannot hold its own.
What happens to the projects inside a folder I delete?
They go with it, along with their tasks. Restoring the folder from Trash within 30 days brings everything back, still filed inside the folder.
Can I move a folder somewhere else?
No. A folder's place is fixed when you create it — it cannot be re-parented or moved to another space. Dragging folders in the sidebar reorders them, nothing more. Move the projects instead, and delete the empty folder.
