Change your plan
Upgrade or downgrade your workspace, and what happens to your data when you do.
Only the workspace owner can change a plan. Admins can see billing but cannot move the workspace between tiers.
Upgrade
- Open Settings β Billing.
- Choose the plan you want and confirm.
- The new limits apply straight away.
You are charged for the seats you currently have. Adding people later adds seats to the next invoice.
Downgrade
Downgrading takes effect immediately, not at the end of the period. Before you confirm, it is worth knowing exactly what changes.
What stays
Everything you have already created stays, and stays readable. Spaces, projects, folders and docs above the new plan's limit are never deleted or hidden.
What stops
You cannot create new items in a category you are over the limit on. If your new plan allows 5 spaces and you have 8, all 8 keep working β but the sixth, seventh and eighth have to go before you can add another.
Features above your new tier stop being available. The most disruptive one is custom role permissions: leaving Enterprise converts anyone on a custom role to a standard role, and Kokar asks you to confirm that before completing the change.

The quickest way to avoid surprises is to compare your current spaces, projects and folders against the limits on the pricing page before you downgrade, rather than after.
If a period is not renewed
A workspace keeps working for seven days after its period ends. After that it becomes view-only until the plan is renewed. Nothing is deleted.

Frequently asked questions
Do I lose anything when I downgrade?
Nothing is deleted. Content you created above the new plan's limits stays in the workspace and stays readable β you simply cannot create new items in that category until you are back under the limit.
When does a downgrade take effect?
Immediately. Kokar does not wait for the end of the billing period, so the new limits apply from the moment you confirm.
What happens to members on custom roles when I downgrade?
Custom role permissions are an Enterprise feature. If you leave Enterprise, anyone on a custom role is converted to a standard role automatically, and you will be asked to confirm this before the downgrade completes.
Can I change plan if my payment is overdue?
You can always upgrade. If a workspace goes unrenewed past its seven-day grace period it becomes view-only, and renewing or upgrading is what lifts that.
